Effective date: 1 August 2025
Last updated: 1 August 2025

Logos VoiceTech ("we", "our", or "us") is committed to protecting the privacy of everyone who interacts with our services. This Privacy Policy explains what information we collect, how we use it, how long we keep it, and your rights.

By using our services — including voice calls handled by our AI agents, WhatsApp interactions, our website, or our platform — you agree to the practices described in this policy.

1. Who We Are

Logos VoiceTech is an AI voice technology company based in Tamil Nadu, India. We operate an AI-powered voice agent platform that businesses use to handle phone and WhatsApp calls with their customers.

Email: info@logosvoicetech.co.in

2. What Information We Collect

2.1 Phone Numbers

When a call is made to or through our platform, we process the caller's phone number and the called number. This is necessary to route, manage, and log the call. We do not use phone numbers for unsolicited marketing without explicit consent.

2.2 Voice and Audio Data

We process audio during active AI voice calls. Audio is transmitted to Google's Gemini AI service in real time for speech recognition and AI response generation. We may retain call transcripts (text representations of what was said) for quality, analytics, and support purposes. We do not retain raw audio recordings unless specifically configured by the business operating the agent.

2.3 WhatsApp Communications

When you interact with a business using our platform through WhatsApp (including WhatsApp voice calls), we process your WhatsApp user identifier, phone number, and message or call content. This is necessary to deliver the AI voice agent service.

WhatsApp communications are subject to Meta's WhatsApp Business terms. We process WhatsApp data as a data processor on behalf of the business operating the agent. You may contact the business directly to exercise rights related to WhatsApp communications.

2.4 Call Metadata

We collect call metadata including: call start and end times, call duration, caller phone number, called number, agent ID, call outcome (completed, failed, transferred), and any input provided via keypad (DTMF).

2.5 Account Information (Business Users)

Businesses and administrators who register on our platform provide: name, email address, password (stored as a cryptographic hash — we never store your plain-text password), company name, and payment information (processed by third-party payment processors — we do not store full card numbers).

2.6 Website Analytics

Our website collects standard server logs including IP addresses, browser type, referring URLs, and pages visited. We use this data only for security monitoring and understanding website usage.

2.7 Contact Form Submissions

When you submit our contact form, we collect your name, email address, phone number (optional), company name (optional), and message. This is used only to respond to your enquiry.

3. How We Use Your Information

  • Delivering the AI voice service: Processing voice and WhatsApp calls, generating AI responses, and completing the requested task (booking, information, support).
  • Call routing and management: Directing calls to the correct AI agent and handling call lifecycle.
  • Analytics and quality improvement: Reviewing call transcripts, monitoring AI performance, and identifying areas for improvement.
  • Security and fraud prevention: Detecting abuse, protecting our platform, and complying with rate limiting and security policies.
  • Billing and subscription management: Tracking usage for billing purposes for our business clients.
  • Support: Responding to enquiries, resolving technical issues, and providing customer support to business users.
  • Legal obligations: Complying with applicable law, regulatory requirements, and lawful requests from authorities.

4. Third-Party Services We Use

We rely on the following third-party services to deliver our platform. Each service processes data as described:

4.1 Google Cloud / Gemini AI

We use Google's Gemini Live AI model (via Google Cloud Vertex AI) to process voice audio and generate AI responses in real time. Audio and conversation data are transmitted to Google's servers for this purpose. Google's data processing is subject to Google Cloud's Data Processing Addendum.

4.2 Meta (WhatsApp Business API)

We use Meta's official WhatsApp Business Cloud API to send and receive WhatsApp messages and handle WhatsApp voice calls. Data processed via WhatsApp is subject to Meta's terms and privacy policies.

4.3 Google Maps / Places API

When a user requests location information, directions, or nearby businesses during a call, we query Google Maps and Places APIs. This may include the caller's stated location or a location mentioned during the call. Query data is transmitted to Google in accordance with their API terms.

4.4 Telephony Providers

We work with telephony providers (such as SIP trunk operators) to connect phone calls. These providers process call metadata and audio in transit as necessary to route calls.

4.5 Payment Processors

Subscription payments from business clients are processed by a third-party payment gateway. We do not store full payment card numbers. Payment data handling is subject to the payment processor's PCI-DSS-compliant terms.

5. Legal Basis for Processing

We process personal data on the following legal bases:

  • Contractual necessity: To deliver the AI voice service you or the business you contacted has engaged us to provide.
  • Legitimate interests: For security, fraud prevention, analytics, and service improvement, where these interests are not overridden by your privacy rights.
  • Legal obligation: When required by applicable law.
  • Consent: Where we have specifically requested your consent (e.g., for marketing communications).

6. Data Sharing

We do not sell personal data. We share data only in the following circumstances:

  • With the business operating the AI agent: The business that deployed the AI agent you interacted with has access to call logs and transcripts related to their service.
  • With our technology sub-processors: Google (AI, Maps), Meta (WhatsApp), telephony providers, and payment processors — as described in Section 4.
  • Legal and safety requirements: Where required by law, court order, or to protect the safety of our users or the public.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, where we would provide notice before your data is transferred.

7. Data Retention

We retain data as follows:

  • Call metadata and transcripts: Retained for up to 12 months from the date of the call, unless the business requests earlier deletion or a longer retention period is required for compliance.
  • Account information: Retained for the duration of the business account plus 6 months after account closure (for billing dispute resolution).
  • Contact form submissions: Retained for up to 24 months to allow us to follow up appropriately.
  • Server logs: Retained for up to 90 days.
  • Raw audio: Not retained by default unless specifically configured. Where retained, kept for up to 30 days.

8. Data Security

We implement reasonable technical and organisational security measures to protect personal data, including:

  • HTTPS/TLS encryption for all data in transit
  • Cryptographic hashing of passwords (passwords are never stored in plain text)
  • Role-based access controls limiting data access to authorised personnel
  • Encrypted storage of sensitive configuration credentials
  • Security headers and rate limiting on all API endpoints
  • Audit logging of administrative actions

No system can guarantee absolute security. If you believe your data has been compromised, please contact us immediately at info@logosvoicetech.co.in.

9. Your Rights

Depending on your location and applicable law, you may have the following rights regarding your personal data:

  • Right to access: Request a copy of the personal data we hold about you.
  • Right to rectification: Request correction of inaccurate personal data.
  • Right to erasure: Request deletion of your personal data, subject to legal obligations.
  • Right to data portability: Request your data in a portable format where technically feasible.
  • Right to object: Object to processing based on legitimate interests.
  • Right to withdraw consent: Where processing is based on consent, withdraw it at any time.

To exercise any of these rights, contact us at info@logosvoicetech.co.in. We will respond within 30 days. Identity verification may be required before processing certain requests.

10. Deletion Requests

To request deletion of your personal data, email us at info@logosvoicetech.co.in with the subject line "Data Deletion Request" and include:

  • Your full name
  • The phone number(s) associated with your interactions
  • The approximate date(s) of interactions
  • The business or service you interacted with through our platform

We will confirm receipt within 5 business days and complete deletion within 30 days, except where retention is required by law.

11. Cookies

Our website uses only essential cookies necessary for authentication (session cookies). We do not currently use advertising or tracking cookies. See our Cookie Policy for details.

12. International Data Transfers

Our AI processing uses Google Cloud infrastructure which may be located outside India. By using our service, you consent to such transfers where necessary to deliver the service. Google Cloud's cross-border data transfers are governed by their standard contractual clauses and data processing agreement.

13. Children's Privacy

Our services are not directed at children under 13 years of age. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

14. Callers Interacting with Business AI Agents

If you called a business phone number or WhatsApp number and were connected to an AI agent powered by our platform, you should know that:

  • You were speaking with an AI, not a human agent.
  • The conversation may be recorded or transcribed for quality and support purposes.
  • The business operating the agent is responsible for their own privacy disclosures to their customers.
  • You can contact us at info@logosvoicetech.co.in to inquire about data related to your call.

15. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified on our website and, where appropriate, directly to business account holders. The effective date at the top of this page will always reflect the most recent update.
